Help: Context Management

Terminology

As everyone has got tasks in many different areas each day, we have created the context menu in the magic box. It allows you to associate one task with a specific field of action like 'finishing the report for Mr. Smith' with your 'work' context and another task like 'buying flowers' with your 'private life' context. This way, you maintain a better overview of your tasks in the different areas of your everyday life.

Here are some more examples for tasks associated to contexts. This also gives you some inspiration for your own contexts:

Adding contexts

Adding a context to the magic box is not difficult. When you navigate to your task list you have to click the 'Context' tab in the magic box. You will notice a button at the bottom right of the magic box which has a little cross on it (plus button). To add a new context you click the button and an input field opens at the top of the magic box. There, you type the name of the context and, in the dropdown menu, you choose a color you would like your context to be marked with. Now, all you need to do is hit the enter key or click on the 'Add' button and your new context appears in the magic box with a colored spot that indicates you to which color it is associated.

When you're done adding contexts, you can optionally click on the 'Cancel' button in order to make the input field disappear.

So far so good. To find out about more advanced features for showing your contexts, please have a look at the hidden features section.

Updating contexts

To update the name of a context that is already listed you need to click with your mouse on its name. At the top of the magic box an input field with your context's name and its color (in a dropdown menu) will appear. You can now change the name or the color of your context as you wish.
To save the context you simply hit enter again or use the little 'Update' button.
Once the context is saved, the input widgets disappear.

Deleting contexts

To remove a context from the magic box you need to click on the name of the context, so that the slider opens again. There, you click on the 'Delete' button and you will be prompted with a confirmation box. This is built-in to prevent accidental deletion. By confirming, your context is deleted. By holding the shift key while clicking on the 'Delete' button you bypass the confirmation prompt.

If there are tasks associated with the context you are deleting, they will automatically lose their association with the context.

Associating a task with a context

If you want to associate a task with a specific context, there are two ways:
First, you take an existing task and, holding it with the mouse, drag it onto the context you wish to associate it with and release your mouse button. Your task will be marked with a spot that has the color of your context.

Alternatively you can associate a task with a context during the process of adding or updating its name. The only thing you need to do is add a space after the name then a colon and the first letter of the context you would like to associate your task with (or the first letters, until the system can identify the context you would like the task to be associated with). If you hit 'enter' now, your task gets a colored spot. This is called the task add syntax.

Okay, this may have sounded a bit complicated but here is an example. If you've got the task to buy flowers for your mum, this is an errand. Suppose you have a context 'Errands'. So you would type 'Buy flowers for mum :e' as a new task (The 'e' stands for your 'Errands' context, let's suppose it is associated with the color red). Then, after hitting 'enter', you will see: 'Buying flowers for mum' with a red spot next to it - to remind you that you still have some errands to do. This works for both adding a task and editing an existing task.

Deleting a context from a task

To delete a context mark from a task, just click on the colored spot of the task and you will be asked if you want to delete its context. If you confirm, the context will be removed from the task. If you want to bypass the confirmation, hold the 'shift key' while you click on the context spot and it will be directly removed.

Hidden features / Tips

How you do itWhat happens
Append a colon and the first letter(s) of a context to a task name when you add it (like 'Take out the trash :h'). This is called the 'task add syntax'. The context is associated with the task when you add it. In this example. 'Take out the trash' could be associated with a 'Household' context.
Rename a context. Renaming a context will update the headline of the corresponding tasklet container as well.
Click on the colored spot of a context within the magic box. The tasks associated with that context will become opaque and push to the bottom of the tasklist
Hold down the shift key while you click the 'Delete' button in the magic box drawer and save a click. Delete a context without the need to confirm
